MOVE-IN PROCEEDURES:
MOVE-IN ZONES AND TIMES:
Based on the location and complexity of displays, exhibitors have been assigned a specific day and a morning or afternoon move-in time. Move in will take place in morning and afternoon shifts Monday, August 18, through Wednesday, August 20. It is important that all exhibitors drop off their materials on their assigned move-in day, as booths will not be set or prepared for an early arrival. All booth displays need to be completed by 8:00 p.m. on Wednesday, August 20, as stated in the rules and regulations and your contract.

FORKLIFT SERVICE:
DWA forklift drivers will transport off-loaded material to the exhibitor's booth. Forklift service is complimentary at the Farwest Show if you're utilizing a personally owned vehicle. However, forklift service is NOT complimentary if a common carrier is used to transport booth supplies.
It is strongly recommended that you palletize everything possible before arriving at the Convention Center. Doing this will greatly expedite your move-in and move-out experience. Forklifts will be available to move your palletized material directly to your booth.
MARSHALLING YARD AND FREIGHT PROCEEDURES:
MARSHALLING YARD NOTE THIS IS A NEW LOCATION
The 2008 Farwest Show will use a Marshalling Yard to assist with exhibitor move-in and move-out. The yard is located at DWA Warehouse. A map and directions to the yard is included in the DWA Exhibitor Kit or you can download the pdf.

The Marshalling Yard is approximately 3 miles from the Convention Center - about a 5-minute trip in normal traffic. In order to maintain an efficient move-in and move-out process, all vehicles that will need access to a loading dock are required to check in at the Marshalling yard prior to arriving at the Convention Center. Vehicles that require access to the loading dock and go directly to the Convention Center without reporting to the Marshalling Yard will be turned away and redirected to check-in at the Marshalling Yard. For all companies using a Commercial Carrier, there will be a $50 round-trip fee.

At the Marshalling Yard, vehicles will be released to the Convention Center as appropriate. Once directed to proceed to the Convention Center, each truck must check in with a Farwest Show Traffic Manager at the loading dock. The Traffic Manager will identify your booth location and direct you to the most convenient available dock to ensure efficient access to your booth location. Exhibitors who utilize double-trailer trucks will be allowed to bring only one trailer at a time to the Oregon Convention Center.
Exhibitors who are using common carriers or other shippers to deliver their display materials directly to the show site during move-in hours are responsible for notifying their carriers of these important move-in regulations.
Exhibitors that ship their display materials through DWA do not need to be concerned with the procedures related to the Marshalling Yard. We encourage any exhibitors who can use the services of DWA to consider shipping their show freight through them.
UNLOADING AT THE ROLL-UP DOORS:
Small vehicles that do not require access to a loading dock can report directly to the facility and can check in with a Farwest Show Traffic Manager. The Traffic Manager will identify your booth location and will then direct you to either the 'A', B' or 'D' roll-up doors. Drivers using the loading dock or roll-up doors will be required to remain with their vehicle while exhibitors off-load materials into a staging area. As soon as materials are off-loaded, the driver is required to move the vehicle to a designated parking location before coming back to begin construction of their booth display (Please see Parking section of these policies). DWA forklift drivers will transport off-loaded material to the exhibitor's booth.
UNLOADING FROM THE PARKING GARAGE:
Exhibitors who can hand carry or who can utilize a push cart from a vehicle less than 7 feet tall without a trailer are encouraged to go directly to the Oregon Convention Center parking garage and utilize the freight elevator. There is an $8 charge to park in the garage, but this will enable you to access the facility while avoiding the loading dock or roll-up doors.

Saturday:
6:00 p.m. ~ Show closes
6:00 p.m. - 7:00 p.m. ~ Aisle carpet removed
7:00 p.m.- 10:00 p.m. ~ Doors open for exhibitor move out
Sunday:
8:00 a.m. - 3:00 p.m. ~ Doors open for exhibitor move out
3:00 p.m. ~ All move-out activities must be complete
The Marshalling Yard will also be used as a staging area for trucks and other vehicles requiring forklift or pallet jack service during move-out. All vehicles seeking access to the loading dock on Saturday night, August 23, or on Sunday, August 24, must first report to the Marshalling Yard to obtain a pass to be dispatched to the loading dock.
Exhibitors who have hand-carried items only that can easily be loaded into their vehicle may use the roll-up doors or the parking garage. During move-out, all material to be loaded must be palletized, placed on racks or be similarly organized and staged on the loading dock or near the roll-up door before an exhibitor's vehicle will be allowed access to the loading dock or roll-up doors.
EXHIBITOR PARKING:
Parking surrounding the facility is still somewhat limited, but the parking lot beneath the I-5 bridge adjacent to the loading dock will be available during move-in and out on an "as available" basis for $8 per space per day. This lot is recommended for vehicles over 7 feet tall, or those with trailers. Please be aware that this lot does have an angled cover (Interstate 5) that creates a low clearance near the back that could affect tall vehicles. During move-in and move-out, it is recommended that vehicles without trailers that are less than 7 feet tall park in the underground parking garage, which is also $8 per day.
Special three-day exhibitor parking passes will be available on show days beneath the I-5 bridge. These passes will allow for in/out access and are available for $30 per space for the three days of the show. Parking will also be available on-site in the parking garage for $8 per entry. No in/out access will be available in the underground garage. Obtaining this parking pass will provide you with easy access to your vehicle from the loading dock area and will be an ideal location on Saturday during move-out.

There is limited parking is available on Martin Luther King Jr. Blvd. in front of the Convention Center for ballroom exhibitors. Please be aware that you must park in the marked move-in zone or you risk being cited. Do not park in the Taxi or Bus Zones.
